How can I create custom user statuses such as “In a meeting,” “On break,” or “On shift” for my workspace?

Answer

Workspace administrators can create custom user statuses from the user settings:

  1. Go to Settings > Users.

  2. Click Manage User Data.

  3. Open the Statuses tab.

  4. Under Available or Unavailable, click Add Status.

  5. Enter a unique label for the status.

  6. Click Save.

How custom statuses affect availability

Each custom status inherits the behavior of the availability group where it is created:

  • A status under Available behaves like the built-in Active status.

  • A status under Unavailable behaves like the built-in Away status.

Custom labels give teammates more context without changing the workspace’s existing assignment behavior.

Managing existing statuses

  • Edit: Select the status label and update its text.

  • Reorder: Drag statuses into the preferred order within their availability group.

  • Archive: Select the archive icon next to a custom status. Built-in statuses cannot be archived.

  • Restore: Select Archived statuses in the relevant group and restore the status.

Users with permission to view user settings can see the configured statuses, but only workspace administrators can change them.
